1. Agreement to Terms

By accessing or using TravTrak (“Service”), you agree to be bound by these Terms of Service (“Terms”) and our , which is incorporated by reference. These Terms form a legally binding contract between you and TravTrak LLC (“TravTrak,” “we,” “us,” or “our”).

If you do not agree to these Terms, do not create an account or use the Service.

On the web and mobile registration screens, your agreement is confirmed by a clickwrap checkbox that you must affirmatively select before your account is created. By completing registration, you represent that you have the legal authority to enter into this agreement. We record the timestamp and version of these Terms accepted at signup.

2. Eligibility

To use TravTrak, you must:

  • Be at least 18 years old
  • Be a currently licensed or actively practicing healthcare professional, or a student or recent graduate in a healthcare field
  • Have the legal authority to enter into a binding agreement
  • Not be prohibited from using the Service under applicable law

By creating an account, you represent that you meet these eligibility requirements. We reserve the right to suspend or terminate any account that does not meet them.

3. Description of Service

TravTrak is a credential and career management platform designed for healthcare travel professionals, available as a web application at travtrak.com and as a mobile app on iOS and Android. The Service provides:

  • Certification and license tracking with expiration date monitoring
  • Vaccination and immunization record tracking
  • Contract and agency management
  • Professional network contact management
  • Credential expiration reminders (via email on web; via push notification on mobile)
  • Document storage and organization (Premium tier)
  • Schedule management tools

Free Tier

Up to 5 items per credential category. Access to core tracking features. Banner advertisements displayed on the mobile app. No charge.

Premium Subscription

Unlimited items in all categories. Document upload and storage. Ad-free experience. All current and future Premium features. Billed at $9.99/month or $99.90/year.

Remove Ads (Mobile One-Time Purchase)

Permanently removes banner advertisements from the mobile app. $3.99 one-time purchase. Does not increase item limits or unlock Premium features.

4. User Accounts

Account Creation: You must provide accurate, current, and complete information during registration. TravTrak uses passwordless authentication — access is granted via a one-time passcode (OTP) sent to your registered email address. You are responsible for maintaining access to that email account and for keeping any active session secure.

Account Responsibility: You are solely responsible for all activities that occur under your account. Notify us immediately at support@travtrak.com of any unauthorized use.

Account Restrictions: You may not share your account with others, create accounts on behalf of third parties without their consent, or create multiple accounts to circumvent free tier limits.

Account Termination: We reserve the right to suspend or terminate accounts that violate these Terms or engage in fraudulent, abusive, or illegal activity.

5. Subscription and Payment

Free Tier: Limited to 5 entries per category (certifications, agencies, contracts). Upgrading to Premium removes all entry limits.

Premium Subscription Pricing: $9.99/month or $99.90/year. Prices are in USD and may vary by region. Current pricing is always displayed before purchase. We may change pricing with reasonable advance notice.

Auto-Renewal — Important Disclosure

Premium subscriptions automatically renew at the end of each billing period at the then-current rate unless you cancel at least 24 hours before the renewal date. By subscribing, you acknowledge and consent to this automatic renewal.

Billing — Web: Web subscriptions are billed and processed by Stripe, Inc. By providing payment information on the website, you authorize Stripe to charge your payment method on a recurring basis. TravTrak does not store your payment card details.

Billing — Mobile: Mobile subscriptions are billed and processed exclusively by Apple Inc. (iOS App Store) or Google LLC (Google Play). TravTrak does not receive or store your payment card information for mobile purchases. Your purchase transaction data is shared with TravTrak and RevenueCat solely to confirm your subscription status.

How to Cancel Your Subscription

Cancellation takes effect at the end of the current billing period. You retain Premium access until that date and will not be charged again. Cancelling does not entitle you to a refund for the current billing period.

  • Web: Cancel via your account settings or by contacting support@travtrak.com
  • iOS: Settings app → [Your Name] → Subscriptions → TravTrak → Cancel Subscription
  • Android: Google Play Store → Menu → Subscriptions → TravTrak → Cancel

Refunds — Web: We offer a 30-day money-back guarantee for first-time Premium web subscribers. Contact support@travtrak.com within 30 days of your initial web purchase for a full refund.

Refunds — Mobile: Mobile subscription refund requests are subject to the refund policies of the applicable app store and must be submitted directly to Apple or Google. TravTrak cannot process mobile refunds.

6. Remove Ads — Mobile One-Time Purchase

The “Remove Ads” option is a non-refundable one-time purchase of $3.99 (mobile only) that permanently removes banner advertisements from TravTrak on the purchasing device and any device logged into the same account.

This purchase:

  • Does not increase item limits
  • Does not unlock document uploads or other Premium features
  • Applies only to the mobile app — the web app does not display banner ads
  • Is processed and managed by Apple App Store (iOS) or Google Play (Android)
  • Is non-transferable and tied to your TravTrak account

Because this is a digital item delivered immediately upon purchase, all sales are final and non-refundable except as required by applicable law or app store policy.

7. User Content and Data

Your Data: You retain all rights to the data you upload to TravTrak, including certifications, contracts, and personal information.

License to Use: By uploading data to TravTrak, you grant TravTrak LLC a limited, non-exclusive, royalty-free license to store, process, and display your data solely to provide the Service to you. This license terminates when you delete your account or the relevant data.

Data Accuracy: You are responsible for ensuring the accuracy of all data you enter. TravTrak is a tracking tool and does not verify the validity of certifications, licenses, or credentials.

Data Backup: While we maintain regular backups, you are responsible for maintaining your own backup copies of important data.

Prohibited Content: Do not upload content that is fraudulent or forged, infringes any third party's intellectual property rights, contains malware or harmful code, or includes patient data or Protected Health Information (see Section 10).

8. Prohibited Uses

You agree not to engage in any activity prohibited under this section or our , which forms part of this agreement. Key restrictions include:

  • Use the Service for any illegal purpose or in violation of any laws
  • Upload false, misleading, or fraudulent credential or certification information
  • Attempt to gain unauthorized access to the Service, its servers, or other users' accounts
  • Interfere with or disrupt the Service or its infrastructure
  • Use automated scripts, bots, or scraping tools against the Service
  • Reverse engineer, decompile, or attempt to derive source code from the app
  • Resell or redistribute the Service without authorization
  • Impersonate another person or entity
  • Create multiple accounts to circumvent free tier limits or other restrictions
  • Store or transmit patient data, Protected Health Information (PHI), or personally identifiable information about third parties who have not consented

9. HIPAA Disclaimer

TravTrak is a personal credential management tool for healthcare professionals. It is designed to store your own professional certifications, immunization records, and employment information.

TravTrak is not a HIPAA-covered entity, is not a Business Associate under HIPAA, and is not designed or intended to store, process, or transmit Protected Health Information (PHI). PHI includes any health information that identifies a patient or could be used to identify one.

You must not enter patient information, patient records, patient identifiers, or any other PHI into TravTrak. Doing so violates these Terms and may violate applicable federal and state law, including HIPAA. We expressly disclaim any liability arising from your uploading or storing of PHI in TravTrak.

10. Disclaimer of Warranties

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. TRAVTRAK DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE. YOU USE THE SERVICE AT YOUR OWN RISK.

Important: TravTrak is a tracking and reminder tool only. We do not verify the accuracy of certification information, expiration dates, or compliance with licensing regulations. You are solely responsible for maintaining valid credentials and meeting all professional requirements imposed by your employers, states, or regulatory bodies.

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, TRAVTRAK SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, DATA LOSS, PERSONAL INJURY, OR BUSINESS INTERRUPTION, ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

IN NO EVENT SHALL TRAVTRAK'S TOTAL LIABILITY TO YOU FOR ALL CLAIMS EXCEED THE GREATER OF: (A) THE AMOUNT YOU PAID TO TRAVTRAK IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR (B) $10.00 USD.

Some jurisdictions do not allow the exclusion or limitation of certain damages. In those jurisdictions, our liability is limited to the maximum extent permitted by law.

12. Indemnification

You agree to indemnify and hold harmless TravTrak LLC, its affiliates, and their respective officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from: your use of the Service in violation of these Terms; your User Content; your violation of any law or the rights of a third party; or any PHI or unauthorized data you upload to the Service.

13. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or through the Service at least 14 days before the new Terms take effect. Your continued use of the Service after changes take effect constitutes acceptance of the modified Terms. If you do not agree with the updated Terms, you must stop using the Service and delete your account before the effective date.

14. Privacy

Your use of the Service is also governed by our , which explains how we collect, use, and protect your personal information, and our , which explains the tracking technologies we use on the website. Both policies are incorporated into these Terms by reference.

15. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Montana, United States, without regard to its conflict of law provisions. Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the state and federal courts located in the State of Montana, and you hereby consent to personal jurisdiction in those courts.

If you are located in the EU or UK, you may have the right to bring claims before your local courts or through your country's dispute resolution mechanisms, notwithstanding the above.

16. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.

17. Entire Agreement

These Terms, together with our Privacy Policy, Cookie Policy, and Acceptable Use Policy, constitute the entire agreement between you and TravTrak LLC regarding your use of the Service and supersede all prior or contemporaneous understandings, representations, or agreements, whether written or oral, relating to the Service.

18. Waiver

No failure or delay by TravTrak in exercising any right or remedy under these Terms shall operate as a waiver of that right or remedy. A waiver of any right or remedy on one occasion shall not be deemed a waiver of the same or any other right or remedy on any future occasion.

19. Force Majeure

TravTrak shall not be liable for any delay or failure to perform its obligations under these Terms where such delay or failure results from causes beyond its reasonable control, including but not limited to acts of God, natural disasters, pandemic, war, terrorism, labor disputes, power or internet outages, or actions by government authorities.
