By accessing or using TravTrak ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, you may not access the Service.
TravTrak is a credential management platform designed for healthcare travel professionals. The Service provides:
Account Creation: You must provide accurate, current, and complete information during registration. TravTrak uses passwordless authentication — access is granted via a one-time magic link sent to your registered email address. You are responsible for maintaining access to that email account and for keeping any active session secure.
Account Responsibility: You are solely responsible for all activities that occur under your account. Notify us immediately of any unauthorized use.
Account Termination: We reserve the right to suspend or terminate accounts that violate these Terms or engage in fraudulent, abusive, or illegal activity.
Free Tier: Limited features with a maximum of 5 entries per category (certifications, agencies, and contracts). Upgrading to Premium removes all entry limits.
Premium Tier: Paid subscription providing unlimited tracking, email reminders, and additional features. Billed monthly or annually.
Billing: Subscription fees are charged in advance on a recurring basis. By providing payment information, you authorize us to charge the applicable fees.
Auto-Renewal: Your subscription will automatically renew at the end of each billing period at the then-current rate unless you cancel before the renewal date. You will receive a reminder email prior to renewal. By subscribing, you acknowledge and consent to this automatic renewal.
Cancellation: You may cancel your subscription at any time through your account settings or by contacting support@travtrak.com. Cancellation takes effect at the end of your current billing period — you will retain access to Premium features until that date and will not be charged again.
Refunds: We offer a 30-day money-back guarantee for first-time Premium subscribers. Contact support within 30 days of your initial purchase for a full refund.
Your Data: You retain all rights to the data you upload to TravTrak, including certifications, contracts, and personal information.
License to Use: By uploading data to TravTrak, you grant TravTrak LLC a limited, non-exclusive, royalty-free license to store, process, and display your data solely to provide the Service to you. This license terminates when you delete your account or the relevant data.
Data Accuracy: You are responsible for ensuring the accuracy of all data you enter. TravTrak is a tracking tool and does not verify the validity of certifications or licenses.
Data Backup: While we maintain regular backups, you are responsible for maintaining your own backup copies of important data.
TravTrak offers two AI-powered tools exclusively for Premium subscribers: the Contract Rater and the Contract Area Research Assistant. By using these tools, you agree to the following additional terms:
Third-Party AI Provider: Both tools are powered by Google Gemini, an artificial intelligence service provided by Google LLC. When you submit a message to either AI tool, your conversation content is transmitted to Google's Gemini API for processing. Google's own Privacy Policy and Terms of Service govern how Google handles this data. By using these AI tools, you consent to your conversation content being transmitted to Google.
Informational Use Only — Not Professional Advice: The Contract Rater and Contract Area Research Search tools provide general informational analysis only. AI-generated responses do not constitute professional financial, legal, employment, housing, or tax advice. Pay estimates, market comparisons, neighborhood assessments, and contract scores are AI-generated and may be inaccurate, incomplete, or outdated. You should conduct your own research and consult qualified professionals before making employment, financial, or housing decisions.
No Guarantee of Accuracy: AI responses may contain errors or outdated information. Travel healthcare pay rates, housing prices, and market conditions change frequently. TravTrak makes no warranty regarding the accuracy, completeness, or reliability of any AI-generated output. All AI responses should be treated as a starting point for your own independent research.
Sensitive Information: Do not submit sensitive personal information to the AI tools, including Social Security Numbers, full dates of birth, bank account details, or passwords. Only share the contract terms and contract area preferences you are comfortable transmitting to Google's external API.
Premium Requirement: AI tools are available exclusively to active Premium subscribers. Access is revoked if your subscription lapses or if your account is suspended for a violation of these Terms.
You agree not to engage in any activity prohibited under this section or our , which forms part of this agreement. Key restrictions include:
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. TRAVTRAK DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE. YOU USE THE SERVICE AT YOUR OWN RISK.
Important: TravTrak is a tracking and reminder tool only. We do not verify the accuracy of certification information, expiration dates, or compliance with regulations. You are solely responsible for maintaining valid credentials and meeting all professional requirements.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, TRAVTRAK SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, DATA LOSS, OR BUSINESS INTERRUPTION, ARISING FROM YOUR USE OR INABILITY TO USE THE SERVICE.
IN NO EVENT SHALL TRAVTRAK'S TOTAL LIABILITY EXCEED THE AMOUNT YOU PAID TO TRAVTRAK IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.
You agree to indemnify and hold harmless TravTrak, its affiliates, and their respective officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from your use of the Service, violation of these Terms, or infringement of any third-party rights.
We reserve the right to modify these Terms at any time. We will notify users of material changes via email or through the Service. Your continued use of the Service after changes take effect constitutes acceptance of the modified Terms.
Your use of the Service is also governed by our , which explains how we collect, use, and protect your personal information, and our , which explains the tracking technologies we use. Both policies are incorporated into these Terms by reference.
These Terms shall be governed by and construed in accordance with the laws of the State of Montana, United States, without regard to its conflict of law provisions. Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the state and federal courts located in the State of Montana, and you hereby consent to personal jurisdiction in those courts.
If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.
These Terms, together with our Privacy Policy, Cookie Policy, and Acceptable Use Policy, constitute the entire agreement between you and TravTrak LLC regarding your use of the Service and supersede all prior or contemporaneous understandings, representations, or agreements, whether written or oral, relating to the Service.
No failure or delay by TravTrak in exercising any right or remedy under these Terms shall operate as a waiver of that right or remedy. A waiver of any right or remedy on one occasion shall not be deemed a waiver of the same or any other right or remedy on any future occasion.
TravTrak shall not be liable for any delay or failure to perform its obligations under these Terms where such delay or failure results from causes beyond its reasonable control, including but not limited to acts of God, natural disasters, pandemic, war, terrorism, labor disputes, power or internet outages, or actions by government authorities.
